for HVAC, heat pump and installation companies/

CRM and ERP for your installation company.

Fikst is HVAC software for installation companies. Customers, quotes, items, stock, purchasing, planning, work orders, service contracts and invoices are in one system. For air conditioning, heat pump and installation companies. The office and the technicians work with the same data, and you set it up around the way you work.

You pay per office user and your technicians are free. You pay for the implementation once.

CRM and ERP for installation companies

From customer questionnaire to quote, the job itself and the next maintenance visit.

For air conditioning and refrigeration companies, customer management, products, stock, purchasing and invoicing belong in the same workflow. Product and stock management are available in Fikst. The system connects that administration with the apps of your technicians and advisers and with your customer’s portal.

Automatic maintenance planning with customer choice

After set-up and activation, the maintenance generator prepares the visits. Fikst suggests available times that fit the route and capacity. Your customer chooses in the customer portal; the booked visit appears automatically as a work order on the planning board. That way this chain can run without scheduling each visit by hand.

Your company sets the work areas, availability and planning rules in advance. The travel time is an estimate; no live traffic route is promised.

Maintenance and automatic planning

Design your own quotes with PDF building blocks

Build a quote in your own branding with the document and PDF builder. Combine text, images, product lines, totals, terms, signing and reusable pages. The quote stays linked to your customer, products, work order and invoice.

Fikst activates the quote builder for your organisation and agrees the set-up with you.

Quotes and the PDF builder

Integrated white-label technician app

The technician works on his phone with the same customers, planning, installations and work orders as the office. Tasks, materials, hours, photos and F-gas records belong to the same job. The app uses the company name, logo and branding of your installation company.

Tasks, photos, hours, the checklist, signing and completing also work without signal. Dictating needs a connection.

The technician app and work order

Separate site survey app with a prepared home file

Customer questionnaires, photos and the available building data prepare the site survey automatically. In the site survey app the adviser gets the home file, the information supplied and the calculation assumptions for the home and heat loss report. With that he can check in a targeted way, carry out the survey and prepare a well-founded indicative quote. This app also works in your own branding.

The adviser checks and confirms the assumptions. An indicative report or quote is not a final installation design. The Dutch ISSO methods and their scope are set out with our calculation publications.

Heat loss and calculation assumptions

Fully integrated white-label customer portal

Your customer fills in the questionnaire, chooses a maintenance time, reports a fault and finds quotes, invoices and released reports in one portal. The technician, adviser, customer and office all work from the same file. The portal shows your company name, logo and branding.

Your company decides which documents and reports are released to the customer.

The customer portal in your own branding

2BA integration for products and trade information

Look up product data through the integration with 2BA, the Dutch product database for the installation trade, and use it with your own product catalogue and quotes. Where your 2BA account gives access, you can consult trade information and wholesale prices and choose which prices to take over. This connects to product management, stock and purchasing in Fikst.

Fikst activates the integration for your organisation. You need a suitable 2BA account of your own and the matching access rights; set-up and any external costs are agreed in advance.

Discuss the 2BA integration

Example for a small air conditioning company: one office user with two to five technicians doing the work costs €50 per month excluding VAT. With two office users it is €100. Technicians who only carry out the work do not count. The one-off implementation, AI usage and any external services are agreed separately. See the current price and what is included.

Read which method suits a calculation in the overview of Dutch ISSO publications and calculation methods. Discuss the set-up, activation and costs for your company during an introductory call.

sound familiar/

Where things get stuck in the office.

  • The work order travels slower than the technician

The job is done. The paperwork is still in the van or in a chat message, and you can only invoice once someone in the office has typed it up.

  • The planning is on a whiteboard

And in your planner’s head. When a breakdown comes in between jobs, something somewhere no longer adds up.

  • Quotes sit and wait

The survey is done and then it goes quiet. Every day of waiting is a day in which your customer can knock on someone else’s door.

  • Nobody sees the whole picture

Enquiries are in your inbox, invoices in the accounts. How things really stand, you only know once someone has pieced it together by hand.

one system/

Work order and planning in the same system as your quote and invoice.

This is field service software for HVAC in which every step follows from the one before. What your technician completes on site is ready in the office straight away. For each step you see the screen as it is in Fikst. You can read more about the planning board and the work order app for your technicians on their own pages.

any size/

From one person to well over a hundred employees.

You only pay for the people in the office. Technicians who work in the field do not count, so your bill does not grow with every new technician.

  • Small, 1 to 5 employees

You pay €50 per office user per month, excluding VAT. You get the same system as a large company, without add-ons.

  • Growing, 5 to 30 employees

For example 6 in the office and 19 technicians: about €300 a month. Your planning board works per crew and per day, and what someone sees depends on their role.

  • Large, 30 to well over 100 employees

For example 15 in the office and 45 technicians: about €750 a month. With more than 30 people in the office or several branches, we make a price to measure.

All amounts per month, excluding VAT, from the calculator on the pricing page. The first month after go-live is free.

if you work with refrigerant/

The logbook follows from the work order.

Every installation with refrigerant needs a complete logbook. In Fikst you keep it in the same system as your planning and your invoices.

office/ installation
Installation Cold room 1 to 4 in Fikst (Dutch screen): refrigerant R448A with GWP 1,386, a 165 kg charge, 228.69 tonnes CO2 equivalent, a leak detection system and a leak check required every 12 months.
  • Records per installation

Every unit is in the register with brand, type, refrigerant, charge and location. The technician records topping up or recovering refrigerant on the work order, and that goes into the logbook of that installation.

  • Leak checks on time

Fikst works out the check interval from the refrigerant and the charge. The check planning shows which leak check is coming up or overdue, and one click creates the work order.

  • An export for the inspector

When the certification body visits, you export the register per installation or per period, as CSV or Excel.

  • Your technicians’ certificates

The F-gas certificates are recorded with their expiry date. Schedule a technician with an expired certificate and the planning tells you. If the person doing the job has no valid certificate on the day of the work, you choose: a warning, or the F-gas activity is only saved with a certified colleague on it.

customer portal/

Service contracts and maintenance, scheduled by your customer.

A service contract prepares its maintenance visits if you switch that on. On top of that, every customer gets their own portal with your logo and colours, in which they choose a time for their visit that fits your route.

What else a service contract takes care of is on the page about maintenance contracts.

Scheduling maintenance

your customer/ portal
Scheduling maintenance in the customer portal (Dutch screen): which days suit you best, with Monday to Friday and Saturday as a spare day, three suggestions in round 1 of 3 with Monday 2 November from 17:15 to 18:00 selected, and the button to book Monday 2 November.

Your customer

Your customer says which days suit them, and whether they prefer mornings or afternoons. The only days on offer are the days you drive in their area.

On those days, Fikst looks for times with as little extra driving as possible next to the jobs already planned. Your customer picks one. None of them suit? Then they ask for a new round.

At your end, in Fikst

When they book, Fikst checks once more that the time is still free. The visit then sits on your planning board as a work order, and you get a notification. No more phoning to fix a date.

You set the days and the areas in which you plan maintenance yourself. It works for customers with a maintenance contract, and for a visit you have already prepared.

The customer portal is included in your subscription. You also pay nothing per customer who logs in. Your customer can do more there, from requesting a maintenance contract to the questionnaire for the site survey.

How the customer portal works

Real screens (in Dutch) from the customer portal of Noordkoel, our demo company in refrigeration, with a made-up customer. You choose per feature what your customer can do.

ai features/

Less typing in the van and in the office.

Two AI features that save you time as an installer straight away. Fikst prepares a proposal and you check it.

  • Dictate a work order

    on by default

After the job, your technician says what he has done. Fikst prepares the hours, the ticked-off tasks, the serial number and a note, and he unticks whatever is not right.

    See what it looks like
  • Read a receipt or purchase invoice

    you switch it on

Put the PDF or a photo of the receipt into Fikst and press Recognise data. The draft appears next to what is already there, so you see straight away what changes.

    See what it looks like

You approve it. Nothing goes into Fikst until you accept it. AI is included and is not expensive: the features use credit, and every company starts with 5,000 free credits. Which actions you can take depends on your access and permissions.

switching/

Switching from your current software.

If you now work with a few separate packages, we start with a short scan of how you work and what you use. Then we set up Fikst alongside what you have, and only switch over once it runs. We take over customers, installations, items and contracts from your current systems.

The implementation is a one-off cost, at a fixed price we agree with you in advance. It depends on the size of your team and what needs to be moved across. Ask for an estimate. The intake and the kick-off session are free. You are live in usually one or two months; that depends mostly on the time your team can put into it.

How the implementation works

how we work/

The agreements, in advance and on paper.

What you want to know before you move your whole company to another system. It is also in the terms.

  • Cancel monthly

You cancel at the end of the month. The first month after go-live is free and without a contract; after that you decide whether to continue.

  • Your data stays yours

If you cancel, you get all your data in a usable, machine-readable format.

  • Everything is in the price

No add-ons. New parts are added without you paying more within your subscription.

  • Your technicians pay nothing

You pay per office user. Anyone who only works in the field does not count, however many technicians you have.

  • You know the implementation in advance

The implementation is a one-off cost, at a fixed price we agree with you in advance. It depends on the size of your team and what needs to be moved across. Going live usually takes one or two months.

  • You talk to the builder

We build the software and implement it ourselves, without an implementation partner in between. For support you get the person who built it on the line.

Work out what it costs for your team or read how switching works. Ask for an estimate for the implementation.

Questions we often get.

All frequently asked questions
Is Fikst also suitable for a one-person business or a small team?

Yes. You get the same system as a large company, without add-ons. You pay €50 per office user per month, excluding VAT, and your technicians do not count. If you only work with quotes and invoices, you need less than Fikst. If you also schedule technicians, do maintenance or work with F-gases, you have all of that in one system.

Work out an estimate for your team
Does Fikst also work for a company with a hundred employees or more?

Yes. Your technicians do not count, your planning board works per crew and per day, and what someone sees and may do depends on their role. With more than 30 people in the office or several branches, we make the price to measure, in a conversation.

Does Fikst get more expensive when I hire technicians?

No. A technician who only works in the field does not count. You only pay more when someone joins the office.

Do I still need a separate CRM and ERP next to Fikst?

No. Fikst is CRM and ERP in one system: your enquiries, customers and quotes, and also the planning, the work orders, purchasing, stock, invoicing and the bank. You do not have to link anything together. Want to keep your accounting package? Then we connect it.

How do I choose software for my installation company?

Put your own work next to it and ask five questions in the demo. Is everything in one system, or do you still need separate packages for F-gases, heat loss or the customer portal? Do you pay per technician? Does the work order work without signal? Can you cancel monthly and take your data with you? And does the AI only do what your role allows? In Fikst it is all in one system, technicians do not count, the work order largely works without signal, you cancel monthly with your data, and the AI works within the permissions of your role.

See all features with real screens
What does Fikst cost?

€50 per office user per month. Technicians pay nothing. With five people in the office you come to about €250 a month, excluding VAT. The implementation is a one-off cost, at a fixed price we agree with you in advance. It depends on the size of your team and what needs to be moved across. Ask for an estimate.

Work out an estimate for your team
Does it work with what we already use?

Fikst replaces most separate packages. If you want to keep something, such as your accounting, we connect it. A connection with your bank or your accounting is included in the subscription. In the scan you hear which connections there are and what is not possible.

Are we tied to anything?

Fikst can be cancelled monthly. Your data stays yours, and when you leave you take everything with you in a usable format. Switching does take time: you do not leave a system your whole company works in over an afternoon.

Is our customer data safe?

Your data is stored in a database in Ireland, within the EU. Each company is shielded from the others in it, and what someone sees depends on their role. Every change is recorded, along with who made it. If you use the AI features, the text they need goes to our AI suppliers outside the EU (Anthropic, and OpenAI if you dictate something). If you do not want that, we switch it off. You get the data processing agreement on request.

Why join now?

Fikst runs in production every day at our first customer, with invoicing, purchasing and the bank in it. What customers ask for, we build. As a launching partner you get the builder himself on the line and help decide what comes next, at a fixed price. If you would rather wait for a long customer list, we understand that too.
