Your data, and what we do with it.

What you want to know before you put your company into a new system. Short, and with the same facts as in the data processing agreement.

01 Where it is stored

Your company data is stored in a database in Ireland, inside the EU. It runs at Supabase, in the eu-west-1 region. The app and this website are delivered through Vercel.

02 Who has access

In the database, every company is shielded from the others, down to each individual row. What someone sees and may do depends on their role in Fikst. If a role is unknown, it gets the minimum.

03 What gets recorded

Every change goes into a log, with who made it. That includes your set-up, such as templates and teams, and anything your own AI changes on your behalf. Signatures are kept in shielded storage and can only be viewed through a link that expires quickly. Keys for the programming interface are stored in a way that even we can no longer read them back.

04 AI

If you use the AI features, the text such a feature needs goes to our AI suppliers, outside the EU: Anthropic, and OpenAI when you dictate something. The legal safeguards apply there. If you do not want that, we switch the AI features off for your company. We never use your data to train models.

05 Who else we engage

We work with a few regular suppliers, and we have a processing agreement with each of them. Which ones they are is set out in our own data processing agreement, which you receive on request. If one is added, you hear about it in advance.

06 If something goes wrong

If we discover a data breach that affects your data, you hear it from us without undue delay. That way you can report it yourself to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) within 72 hours.

07 If you leave

Your data is yours. You take it with you in a common format. After that we delete our copies, except what we are legally required to keep, such as invoices.
