frequently asked questions

faq

An honest answer to the questions you already have.

What does it cost, how do you switch and does it fit the way you work? Here you can read how Fikst works for refrigeration and installation companies.

price and model

How much does fikst. cost?
€50 per office user per month. Technicians pay nothing. All prices exclude VAT. A technician who only works in the field does not count, however many you have. With five people in the office you come to about €250 a month. On the pricing page you can work out an estimate for your own team without filling in a form. With more than 30 people in the office or several branches, we put together a price that fits. On top of that there is a one-off implementation.
Do I pay per user?
You pay for office users, such as your planner, job preparer and admin staff. The subscription costs €50 per office user per month. Technicians pay nothing. All prices exclude VAT. The one-off implementation depends on your whole team, technicians included. Work out an estimate for your team
Why is a technician free and an office employee not?
Because a technician uses the system differently. He sees his day, ticks off a work order and records what he has done. Your office works in the system all day: quotes, planning, invoicing, purchasing and the bank. We think it is odd to make you pay for someone who only fills in what you need later, and it keeps the bill predictable in a trade where the crew grows and shrinks with the season.
What does the implementation cost?
The implementation is a one-off cost, at a fixed price we agree with you in advance. It depends on the size of your team and what needs to be moved across. Ask for an estimate. The intake conversation and the kick-off session are free. We discuss the set-up, data transfer, training and any custom requirements in advance, together with the costs that go with them. Ask for an estimate
Technicians free, what is the catch?
There is no catch, there is a choice. In this trade, charging per user for the field is a penalty on growth: you put a technician in a van and your software gets more expensive. We would rather earn from companies that stay than from companies that count how many people they dare to give an account.
Does Fikst also do the bookkeeping?
Invoicing, purchasing and the bank are in Fikst, and for the VAT return Fikst works out the boxes for you; you file it yourself. Your bookkeeper looks along free of charge with a login of their own, does not count as an office user and gets an audit file with the figures per period. At Elite, the separate package for invoicing was dropped. Fikst does not do full accounting: your accountant makes the balance sheet and the annual accounts. You agree with your accountant what else your administration needs. Want to keep your own accounting package? Then we check in the scan whether we can connect to it.
Can we keep track of our stock in it?
Yes. You keep stock per warehouse and per technician's van. Product and stock management are available in Fikst. You transfer stock from one warehouse to another. Per warehouse you set a minimum, and the reorder advice takes it into account. Your purchase list is included.

f-gases and regulations

Is the F-gas administration really built in, or is it a link to another system?
It is built in. Every installation is in the equipment register with its refrigerant, charge and CO2 equivalent, so the system itself knows which inspection interval applies. When a technician adds or recovers refrigerant, he records it on the work order line, with the quantity and certificate number. That produces the register you need.
We now have a separate package for the logbook. Can that go?
Fikst brings the equipment register, the refrigerant records and the work order together with quotes, planning and invoicing. During the implementation we look at whether the data and way of working from your current logbook can be taken over that way. So you know in advance what Fikst replaces and what may still be needed. See the refrigerant records in Fikst
Our inspection intervals differ per installation. Does the system keep track of that?
Yes. The required frequency depends on the charge: for an HFC the CO2 equivalent, for an HFO such as R1234ze the number of kilos. The system works it out from the refrigerant and the charge. A small propane installation has no obligation. A cold store above fifty tonnes has to be checked every six months, and so does an installation with 12 kilos of R1234ze. Per installation you see when the next inspection is due and which ones are overdue.

implementation

How long does it take before we are live?
That mainly depends on the time your team can put into it: usually one or two months. Your data, set-up and custom requirements determine the planning we agree together. Elite Klimaat Groep was fully live within two months; that is one customer example, not a fixed lead time for every company. Read how Elite Klimaat Groep made the switch
What is asked of us?
Mainly decisions and data. We do the set-up, but you decide how you work: which types of work you have, which checklists go with them, how your price agreements run. Count on one fixed contact person on your side who puts a few hours a week into it, and on one day when we take the team through it. See how the implementation works
Do we have to retype our existing data?
No. We take over customers, installations, products and contracts from what you have. At our first customer, the customers, the service contracts and the equipment register were migrated; whatever cannot be migrated cleanly, we name in advance instead of leaving it on your desk afterwards.
Do we have to adapt our processes to Fikst?
Your way of working is the starting point. We begin with proven industry processes and set up your types of work, checklists, quotes and price agreements on that basis. What can be done through configuration and what needs additional custom work, we discuss in advance. And when your company changes, the set-up can grow with it. See Fikst for installation companies
Who helps us after go-live?
Fikst remains your point of contact for support, changes and additional custom work. You deal directly with the builder, without a separate implementation partner in between. You can also adjust processes and configurations yourself within your permissions, or ask your own AI to do it through the connection. What guidance you need and what it costs, we agree in advance. Discuss the guidance for your company

trust

You are new and small, so why should I go with you?
That is true, and we do not hide it. What you get in return: the system runs in production today at a climate installation company, including the invoicing, the purchasing and the bank; on the product page you see real screens instead of mock-ups; and you get the builder on the line instead of an account manager. We have five places for launching partners, three of which are still open, and those partners carry a lot of weight in what gets built next.
Will I be locked in with you?
You can cancel monthly, and your data stays yours: when you leave, you get everything in a usable format. The implementation is a one-off and you do not pay for it again. What we do not do is pretend that switching costs nothing; you do not leave a system your whole company works in over an afternoon.
Is our customer data safe?
Your data is stored in a database in Ireland, within the EU. Each company is shielded from the others in it, and what someone sees depends on their role. Every change is recorded, along with who made it. If you use the AI features, the text they need goes to our AI suppliers outside the EU (Anthropic, and OpenAI if you dictate something). If you do not want that, we switch it off. Which other parties we use is set out in the data processing agreement; you get it on request. Read how we protect your data
What if you go under?
A fair question for a young company. Your data sits in a standard database and can be exported in full, so you are not stuck in a format only we can read. That does not solve the problem, but it limits the damage, and that is more than we can say of most suppliers.

who it is for and what it does

Who is fikst. for?
For refrigeration and air conditioning companies and installation companies that want to organise enquiry, quote, planning, execution, invoicing and maintenance in one system. Think of air conditioning, heat pumps, electrical work and energy-saving improvements. We look at your processes and team size to decide which set-up suits you. Discover Fikst for your installation company
We do electrical work or another installation trade. Does it work for us too?
Yes. Customers, quotes, planning, work orders, invoices and service contracts are the basis for other installation trades too. We set them up around your types of work and processes. If you work with refrigerants, you also use the F-gas administration; that does not have to be the starting point for your company. See Fikst for electrical contractors
Can we see it first without a conversation?
Yes. On the Features page you see real screens from Noordkoel, our demo company, from the customer portal and the F-gases to the work order and the AI. You can enlarge every screen. If you want to discuss your own situation or see Fikst working live, we do that in a walkthrough. See all features
Do our customers get their own portal?
Yes. Your customer logs in with their e-mail address and a code, and sees the portal in your house style. There they schedule their maintenance, report a fault and find their quotes, invoices and contract. For the site survey they fill in a questionnaire there, with photos. The portal is included in your subscription. See how the customer portal works
What can the built-in AI assistant do for us?
The Fikst Assistant works with the data and actions in your business system. You can, for example, look up work orders, prepare a quote or configure processes. When you dictate a work order, AI fills in the hours, the ticked-off tasks, the serial number and your note; you untick whatever is not right. Fikst is built from the ground up to be operated by people and AI alike: we call that agent-native. Your role, company settings and enabled options determine what is available. See concrete examples of AI in Fikst
Can we connect our own AI to Fikst?
Yes, through MCP: the connection through which an AI client, such as Claude, can carry out actions in Fikst. There are hundreds of actions for customers, quotes, work orders, planning, invoices and the F-gas register, among others. You ask in plain sentences for what you want, and anything that sends something to a customer asks for your approval first. Which actions your AI may carry out depends on your role, organisation and enabled options. The connection is included in the subscription; you can use the built-in Fikst Assistant in the system itself. See what your own AI can do through MCP
Which languages is Fikst available in?
The website is in Dutch and English. The system itself works in Dutch today; the English version is being built, and French and Spanish follow after that. Fikst starts in the Netherlands and grows from there as the HVAC platform for Europe. E-mail templates you write yourself are in whatever language you choose. See the Dutch website
