end/ full circle

From request to payment, in one system.

When the same customer comes back with a question, the route starts again, with the installation and the history already in place.

start/ customers and contacts

The complete customer record in one place.

Companies, homeowners and their contacts. When someone calls, their details and your history with them are close at hand.

step 1/ sales and quotes

From enquiry to signed quote.

An enquiry comes in through your website, the phone or a regular customer. Fikst keeps track of where it stands, until the customer signs and the work is planned.

The whole web quote for a refrigeration installation from Noordkoel for Henk Jansen, an invented customer: introduction, the advised propane installation, warranty and leak checks, six lines of products and work with a subtotal of 16,050.50 euros excluding VAT, 3,370.61 euros VAT and 19,421.11 euros including VAT, payment in two instalments, the signing block and earlier work.

with request and quote/ heat loss and advice

From property address to heat pump recommendation.

A heat loss calculation per room, with the building already filled in from open sources. Then a heat pump recommendation, and a report for your customer.

step 2/ planning and calendar

Scheduling without the guesswork.

You see per day which crew is where, who is free and what still needs doing. What you plan shows up on your technician’s phone straight away.

with planning/ projects and team

Projects and your team.

Manage larger jobs as projects with stages and budgets. Use your team’s roles, skills and certificates when scheduling work.

with planning/ purchasing and stock

Purchasing and stock in one system.

Fikst combines the materials needed for your work orders into a purchase list. Extract data from purchase invoices and track stock by item and warehouse.

step 3/ job sheets and technician app

Your technician has it all in their pocket.

An app on the phone that keeps working in a basement without signal. Your technicians do not count towards your subscription.

with work order/ f-gases

F-gas records from the work you record.

Refrigerant details recorded on the job sheet go into the unit’s logbook, ready for the next inspection.

with work order/ ai

AI that works with you.

Dictate instead of typing, extract document data and give the Assistant instructions in Fikst. You review proposals and confirm sensitive actions.

step 4/ invoicing and payment

Done means invoiced.

The invoice follows from what was actually done. Your customer pays online, and you see straight away what is overdue. Your accountant does the annual accounts.

with invoice/ insight

Every morning you know where you stand.

See today’s priorities, your assigned work and business performance. Each metric explains how it was calculated.

step 5/ bank and VAT

Your bank and your VAT together.

You match payments to your invoices and purchases. You prepare the VAT return from your own invoices; you or your accountant file it.

step 6/ service and maintenance

Keep service running after installation.

Installed equipment goes into the register. Contracts generate maintenance visits and fault reports link directly to the right unit.

step 7/ customer portal

Your customer handles it themselves.

Every customer gets their own portal in your branding. What they do there reaches you as a task, work order or ticket.

under everything/ automation and communication

Automate recurring work.

Requests through your own website, automations for what you always do the same way, and email from every customer, quote or invoice. Steps involving money ask for approval first.

under everything/ settings and permissions

Set up the way you work.

Your own stages, fields, words and screen layout. And per role exactly who may see and do what.

Email campaigns alongside calling campaigns

Create email campaigns alongside calling campaigns. Choose audiences from your Fikst records and build segments with and/or groups, behaviour and lead origin. Use reusable email blocks and images, schedule a send time and compare two subject lines with an A/B test. Smart Sending can skip recent recipients. The report shows delivery, recorded opens, clicks and attributed conversions. Unsubscribes and contact preferences by topic still apply. Campaign email requires activation and setup for each organisation, campaign permissions, a sender and unsubscribe footer, and a test email using the current text. Scheduling requires approval of the audience, text and time; depending on role and audience size, a second person must also approve. Discuss setup and usage terms beforehand.

Calling campaigns and audience selection

Automated follow-up for new segment members

An enabled flow starts when a contact newly enters a configured segment. The flow can wait, notify staff and queue marketing email in the existing campaign queue. Segments are checked daily, starting with a baseline that sends no email to existing members. Each segment processes up to 200 new entrants per day; remaining entrants follow later. Campaign email must be activated and configured for your organisation. Consent, unsubscribes, preferences, Smart Sending and sending windows still apply. Where bulk approval is required, it applies to the email version and recipient count. The run log records completed and skipped steps with their reasons.

Automations and their rules

A completed week in view

In Analysis, choose a completed week. The Weekly report compares new enquiries, quotes sent and accepted, and invoiced amounts excluding VAT with the previous week. It also shows current open quotes and figures by salesperson. Salespeople are active employees allowed to own sales appointments. Conversion and win rate use a 90-day period. The report is for organisation administrators; amounts in the app follow invoice permissions.

Analysis and reporting in Fikst

Read your weekly report with your own AI

Ask your connected AI through MCP: "Show the management weekly report." Without a date, Fikst reads the previous completed week; the current week is refused. You receive enquiries, quotes, invoiced amounts excluding VAT and attention points from the same Fikst report. Conversion and win rate use a 90-day period. Sign in with your own Fikst account as an organisation administrator. An organisation key without a signed-in user is insufficient. Your AI can only read the report, not change it.

Follow up quotes from My work

In My work, open Sales. View your own draft and sent quotes together, with a stage, note and expected response date. The groups follow your company's quote stages. The call list brings follow-up quotes together. An administrator can view all salespeople. Existing quote access and write permissions still apply. A stage change here keeps the current quote status; accept or reject the quote on its detail page.

The customer reviews the work order and chooses

Your customer reviews the completed work and materials on the phone and chooses Agree or Agree with a remark. Recording a refusal requires a reason and a connection. The customer's name is required. You configure whether the customer sees hours per type of job; by default, only for fault repairs. The technician can only record this on their own assigned work order with write permissions. For a remark or refusal, the office can receive a notification through enabled notification rules.

The work order and your customer's signature

Issue part from stock, order the remainder

Office staff issue material from reserve stock for a work order. For an eligible open material line, issue the available part and keep the remainder as a separate line to order. The technician sees what is still in reserve and what has been issued. Stock management must be configured and write permissions are required; placing the order remains a separate action.

Your own order for quote templates

An administrator sets the order in which quote templates appear in the template picker. Put frequently used templates first. Without a configured order, Fikst keeps the existing order.

Quotes and template setup

Team jobs in the technician app

Staff who also work as technicians can use the Team tab when the company enables team visibility. It shows the team jobs. In the technician app, you can only edit a job assigned to you, with the required write permissions. The Team tab grants no additional editing rights over colleagues' jobs.

Complete missing installation details

After a work order is completed, office staff can see which new installations still need details for their nameplate. Complete the installation record and update the article for the next job. Your configured F-gas module and account permissions determine what you can view and change.

Installations and F-gas records

An installation record for each unit

Selling several identical units on one suitable work order line? You can configure Fikst to create a separate installation for each unit when the work order is completed. Check the records and any missing details afterwards. Administrators set defaults for new installations; details already present on the article take precedence.

The installation record in Fikst

Prepare nameplates before the installation job

Prepare nameplates for planned installation jobs at the office. Fikst shows missing article details and creates a PDF of the plates you select in the app. This advance print has fields to complete and no QR code yet. Check and complete the details at the installation. This requires the configured F-gas module and appropriate permissions.

F-gas records and nameplate preparation

F-gas preparation with your own AI

Ask your connected AI through MCP which installations created from completed work orders still need details and which articles to complete for future jobs. Your AI can also show nameplate preparation for planned work orders and read default values. Only an administrator can change those defaults on request. Select the nameplates in the app, where you create and print the PDF. The F-gas module and account permissions are still required.

Connect your own AI through MCP

Recognise service names from your lead integration

Map service names from your connected lead integration to your own work types. An administrator configures the additional names in Service types. This requires a configured lead integration, through your website or an automation connection. Discuss during setup whether this fits your company. Unknown service names remain for review.

Lead integrations and work types

These are available workflows with their setup and permission requirements. Discuss how your company wants to use them.
